Description

The Admin Assistant position performs receptionist, secretarial and administrative duties.

KEY RESPONSIBILITIES :

  • Ability to represent and work within the mission, vision & values of TSA and Ridge Meadows Ministries
  • Consistently demonstrate compassion, respect and empathy
  • Support, where and when possible, the efforts of all clients, residents, volunteers, and co-workers
  • Maintain polite and professional communication in person, via phone, email, video conferencing and mail
  • Greet visitors, answer telephone calls and answer inquires and / or redirect inquires
  • Resolve routine inquiries
  • Handle sensitive employee, client and or program information in a confidential manner
  • Open and distribute in-coming mail / parcel(s) and process out-going mail
  • Use word processing to draft, type, proofread routine documentation such as letters, forms, email and other typing assignments
  • Schedule meetings, prepare agenda, and take minutes; type and circulates minutes
  • Photocopy and distribute materials, send and receive email / fax materials
  • File documents electronically and / or manually
  • Data entry and maintain databases (volunteer information, contact lists, hours worked, stats)
  • Maintain and order adequate stationery / office supplies and other supplies as requested
  • Arrange for maintenance of office equipment
  • Promotes the Salvation Army Ridge Meadows Ministries Volunteer program; reaches out to and makes presentations to businesses, community groups, service clubs, schools, churches.
  • Recruits and orients volunteer, collaborates with various program and department heads to identify, fill, and maintain volunteer positions.
  • Maintains a year-round focus on the Salvation Army Ridge Meadows Ministries Christmas program and fundraising volunteer needs, with an emphasis on fully and adequately resourcing the Kettle Campaign through targeting individuals, groups, and businesses to act as Christmas Kettle workers, drivers, and other support worker positions.
  • Develops and maintains volunteer promotional material and volunteer job descriptions for all the Salvation Army Ridge Meadows Ministries volunteer positions.
  • Plans and hosts volunteer appreciation events.
  • Assists in the development of volunteer related policy and procedures and volunteer handbook.
  • Responds to complaints and assists with performance management, discipline and / or resolving conflicts involving volunteers.
  • Always looks for ways to expand the Volunteer program and increase the number of volunteers serving in all the Salvation Army Ridge Meadows Ministries departments.
  • Develops, maintains, and ensures the security of the Salvation Army Ridge Meadows Ministries volunteer database and volunteer personnel records.
  • Performs other job-related duties as assigned.
  • Match volunteer’s skills and availability with work / activity needed and / or available, update and post schedules

HOURS :

Full time position based on 37.5 hours per week Monday to Friday days

QUALIFICATIONS AND EDUCATION REQUIREMENTS :

Education / Certifications :

Completed High School and have minimum 1 year of related experience

Experience :

  • Strong service ethic and a friendly disposition with the public
  • Team oriented and able to take initiative
  • Ability to work with minimum supervision in a fast-paced environment
  • High standards of integrity, judgement and confidentiality

Required Skills / Knowledge :

  • Effective communication skills
  • Adaptability to change and frequent interruptions
  • Willingness to work with people from diverse cultural backgrounds
  • Computer and word processing ability
  • The performance of the job requires a frequent amount of sitting and keyboarding, while occasionally bending, walking, standing, and lifting up to 10 pounds
  • Food Safe, CPR, First Aid and Non-Violent Crisis Training an asset
  • Knowledge and interest in the programs and services of The Salvation Army an asset
  • Successful obtainment of clearance through the Criminal Records Review Program

PREFERRED SKILLS / CAPABILITIES :

  • Preference to those with a current valid BC driver’s license with clean driving record
  • Preference to those who have related diploma courses in field

Successful candidates, prior to hiring, may be required to provide :

  • Background check consent
  • A clean drivers abstract
  • Completion of our online Abuse Training and required Health and Safety training
