We are currently seeking a detail-oriented and organized Scheduling Coordinator to join our dynamic team.

Job Summary :

As the Scheduling Coordinator , you will play a key role in coordinating and managing the scheduling of healthcare staff to ensure adequate coverage for all client facilities.

This position requires strong communication, organizational skills, and the ability to work in a fast-paced environment while maintaining attention to detail and professionalism.

You will be responsible for ensuring shifts are filled in a timely manner, managing last-minute changes, and maintaining strong relationships with both healthcare workers and clients.

Key Responsibilities :

  • Coordinate daily and weekly schedules for healthcare professionals, including nurses, PSWs, and other support staff, based on client needs.
  • Communicate with healthcare staff to confirm availability and assign them to appropriate shifts.
  • Ensure all shifts are filled in a timely manner and handle last-minute cancellations or changes efficiently.
  • Maintain up-to-date records of employee availability, certifications, and compliance requirements.
  • Build and maintain strong relationships with clients to understand their staffing needs and ensure a high level of service.
  • Work closely with the recruitment team to forecast staffing needs and ensure a continuous supply of qualified candidates.
  • Monitor employee performance and follow up on any client or staff issues related to scheduling.
  • Provide support and resolve any staffing-related issues that arise outside of regular working hours (on-call responsibilities may apply).

Qualifications :

  • Previous experience in a scheduling or coordination role, preferably in healthcare or staffing.
  • Excellent organizational and time management skills with the ability to manage multiple priorities.
  • Strong communication skills, both written and verbal, with the ability to build positive relationships with staff and clients.
  • Proficiency in scheduling software and Microsoft Office Suite (Excel, Word, etc.).
  • Ability to work in a fast-paced environment and manage high-volume scheduling.
  • High level of attention to detail and problem-solving skills.
  • Flexibility to respond to scheduling needs outside of normal business hours if required.
  • Knowledge of healthcare staffing regulations and compliance is an asset.
