Summary
We are recruiting for a temporary Office & Events Administrator Co-op Student based out of our Burnaby Automation Centre, to support a variety of teams within the office.
Reporting to the Manager, Facilities & Office Services, this is an exciting opportunity for a student looking to gain experience in an office environment.
The position will start in January 2025 and preference will be given to candidates available for an 8-month term, although all lengths of terms will be considered.
Please note : This is an in-office position and occasional reception coverage is required, including greeting visitors and answering calls.
Role and Responsibilities
- Provide administrative support for Sales team members including scheduling meetings and creating presentations, reports, spreadsheets and general documents
- Assist with coordinating local internal and customer-facing events and tradeshows, including preparation of invites, nametags, packages, registration lists, and other materials;
booking event spaces when required; arranging catering and set-up; welcoming guests; liaising with vendors and problem-solving
- Provide administrative support to the Marketing team and support the maintenance of sales support tools, including goodwill, our intranet site and local marketing campaigns
- Provide general daily administration support to teams within the Burnaby and Prince George offices
- Participate as an active member of the Facilities & Office Services team, and provide back-up coverage to all team members, including reception coverage on a multi-line switchboard
Qualifications and Skills
- Currently studying Business, Marketing or Communications, or similar
- Microsoft Office skills at an intermediate level (Word, Excel, PowerPoint, Outlook) and experience with AdobePro, an asset
- Prior experience with supporting in-person and virtual events, an asset
- Strong Customer First focus
- Positive team player, strong interpersonal skills, and an ability to work collaboratively with team members and customers
- Demonstrates a high degree of professionalism, discretion, and integrity
- Exceptional written and oral communication skills
- Strong organization and time-management skills
- Occasional travel and after-hours work required to support customer / company events
- Valid drivers’ license
- Entrepreneurial work ethic
