We are seeking a highly organized and detail-oriented Administrative Assistant for a small office with experience in SAGE accounting systems to manage office operations and ensure smooth financial processes.

As a key member of our team, you will interact with car dealerships, partners, and clients while overseeing the invoicing, financial records, and accounting for our auto shows.

Key Responsibilities :

• Office Management : Manage day-to-day office operations, ensuring efficiency and professionalism.
• Accounting : Utilize SAGE accounting software to handle all aspects of bookkeeping, including accounts payable / receivable, invoicing, and reconciliation.
• Client Invoicing : Prepare and send invoices to clients (car dealerships and partners) for auto show-related services and ensure timely payments.
• Partner & Client Interaction : Serve as the main point of contact for dealerships, partners, and other stakeholders, handling inquiries and communications.
• Financial Reporting : Generate financial reports, assist with budgeting, and provide insights for financial decision-making.
• Event Support : Assist in coordinating financial aspects of auto shows, including tracking expenses and ensuring proper financial documentation.
• Document Management : Maintain and organize financial records, contracts, and agreements.

Qualifications :

• Proven experience with SAGE accounting systems.
• Strong understanding of accounting principles and financial reporting .
• Excellent organizational and time management skills.
• Strong communication skills with a professional demeanor when interacting with clients and partners.
• Proficiency in Microsoft Office Suite (Excel, Word, etc.).
• Prior experience in the automotive industry or events management is an asset.

Salary : Competitive, based on experience.
