About the Opportunity

Our Public Sector client, located in Calgary, is in need of a Administrative Assistant to provide necessary administrative support services to a director and team members, both individually and collectively.

In this capacity, the administrative assistant supports and coordinates team meetings, participates in discussions and decisions, prepares budget information, makes travel arrangements, maintains a schedule for team leave plans, and manages an effective office providing administrative and secretarial support.

Duties include but are not limited to :

  • Carrying out administrative duties associated with team activities, projects and initiatives
  • Making travel arrangements (requests and claims)
  • Developing, inputting, and maintaining contact databases
  • Coordinating logistics / hospitality for events and team activities
  • Preparing budget information and payment of invoices
  • Coordinating accounting and procurement requests
  • Supporting and coordinating project / team meeting which may include scheduling, preparing agenda, notetaking, drafting meeting minutes and logistics
  • Assisting in the preparation of correspondence, reports, statements, and other documents
  • Maintaining the database of promotional items and actioning requests
  • Updating and maintaining the team leave calendar
  • Other duties as assigned

About You

The successful candidate will have the following :

  • Secondary school diploma or an acceptable combination of education, training, and relevant work experience
  • Minimum 12 months relevant experience
  • Be familiar with MS Teams, Zoom and other technologies associated to hybrid workplaces
  • Extensive experience using basic Microsoft products : Word, Excel, PowerPoint
  • Be able to multi-task
  • Meet tight deadlines
  • Have outstanding communication and interpersonal abilities
  • Have excellent organizational and leadership skills
  • Be familiar with general office procedures, equipment, and software
  • Have a strong commitment to people, processes, policies, and confidentiality
  • Valid security clearance at a minimum level of Reliability

  • Location : Onsite Calgary client
  • Duration : ASAP for a 48-week period
