Position : New Business Associate I

Location : Waterloo, ON (open to locations in Montreal and Halifax.

Work Type : Hybrid (3 days in office per week)

Contract Duration : 6 months

Start date : November 4th, 2024

Schedule Hours : 8-4 or 9am-5pm Monday-Friday; standard 37.5 hrs / week

Pay Rate : 20.50 / hr

ROLES AND RESPONSIBILITIES :

  • Assist the Implementation Manager in coordinating the exchange of member data and the financial movement of the plan transfer of a large case client's retirement program from their previous service provider,
  • Project manage the tasks involved in complex plan amendments and plan changes for our large case clients,
  • Provide implementation support and information to the Client Relationship Managers and Account Executives for clients of a small to mid size level, and
  • Be an expert on plan transfer and amendment processes, design options and custom HR services for our large case clients.

Key Accountabilities :

  • Primary contact with a plan sponsor's previous service provider for a large case implementation. Implementation Specialist has the accountability for the relationship with this service provider, ensuring the needs, expectations and timelines set out in the project plan by the Implementation Manager, on behalf of the client, are being met.
  • Project manages the tasks involved in an amendment or plan transfers, ensuring tasks are being completed according to the timelines set, regular updates provided to the individual in GRS that is managing the client relationship and issues are escalated as needed.
  • Understanding the client's needs and expectations.
  • Implementation Specialist must ensure they have a complete grasp of client's issues and requirements as well as an understanding of all processes involved in the implementation of a new plan or the amendment process.

The individual must keep themselves up to date on the responsibilities and internal workflow within each of the affected teams to ensure that appropriate decisions and direction is provided and ultimately a smooth completion of implementation tasks and / or project is achieved.

  • Applies product, administration, legislation and privacy knowledge
  • Applies understanding of legislative and privacy guidelines when coordinating a plan transfer or amendment for a client.
  • Works closely with Plan Design Specialist in processing of the member data and plan transfer.
  • Completes project status updates
  • Participates in weekly status meetings with project team. Coordinates meetings, as needed, with those involved in delivery of the Implementation Specialist's key tasks.
  • Keeps Plan Member Admin up to date on amendments that will affect the staff's knowledge of the client's plan design and any changes in administration processes.
  • Implementation Specialist must be proactive in managing issues by anticipating the outcome of the process and ensuring all necessary steps have been taken.

Candidate Requirements / Must Have Skills :

  • 1) Good technical skills with a strong ability to learn Strong PC skills : Intermediate to advanced proficiency with MS Excel and MS Word programs to be used for file manipulation and creation;
  • 2) Strong math skills used to reconcile reports and work with financial data;

3) Strong verbal and written communication skills to be able to effectively facilitate project team meetings, provide updates to the Implementation Manager and Client Relationship Manager as well as hold conference calls with other service providers to plan for the transfer of a plan sponsor's assets.

4) Demonstrated negotiation and problem solving skills with the ability to recognize implications of issues and solutions.

Nice-To-Have Skills :

1. Experience within banking retirement industry.

2. Experience with Automate and / or Power BI

3. Project management experience

4. Strong knowledge and understanding of the group pension industry in Canada and the company's business operations, systems & technology, as well as the administration and service processes.

Education :

Education / Experience : high school required. Work experience 0-2 years.
