Role Description :

We are seeking a part time experienced Accounts Payable & Billings Coordinator who thrives in a fast-paced and high energy environment with creative and business minds alike.

The successful candidate will be confident, organized and enjoy and be able to work with minimal supervision. You should also have experience in the professional service industry.

It’s a bonus if you truly understand (or are excited to learn) the creative, branding, advertising agency and production business.

This position is 15 hours / week per week with the expectation that 50% of the time will be spent onsite in our Vancouver office.

Please note that we are flexible with the workdays, as well as hours worked per day, and can adjust to fit your schedule.

Duties & responsibilities :

  • Billing (approx 1 day / week) :
  • Client billing including review of WIP reports; meetings with Account managers; timely and accurate client invoicing; appropriate revenue recognition based on percentage of completion;
  • Management and reconciliation of job costs;
  • Collections.
  • Accounts Payable (approx 1 day / week)
  • Match PO’s, obtain approvals;
  • Data entry in Xero & Kantata;
  • Verify correct taxes charged;
  • Prepare bi-weekly payment runs;
  • Credit card data entry & reconciliation.

Skills & Attributes

  • 3-5 years in a related position, preferably in a service based company.
  • Comfortable with all aspects of bookkeeping with relevant experience in all tasks noted.
  • Well organized and excellent attention to detail.
  • Works well in a fast paced environment, is self-driven, confident and able to work independently.
  • Professionalism, efficiency and accuracy are essential.
  • Proficiency and comfort with web-based technologies, Google G Suite and Xero accounting software.
  • Great communication and interpersonal skills.
  • Ability to multitask effectively as required.
  • Entrepreneurial spirit : self-starter and proactive.
  • Flexible and adaptable to rapidly changing business conditions and priorities.

Compensation :

  • Annual salary of $45,000 - $55,000 a year pro-rated based on a 40% work week, which equates to approx $23.08 - $28.21 / hr depending on experience.
  • 3 weeks holiday pro-rated based on a 40% work week equates to 6 days / annum
  • $500 annual health spending account benefit
